How a PDF QR Code Works

A QR code cannot store a PDF file itself. Even a small PDF is tens of kilobytes; a QR code holds about 3 kilobytes at most. So a "PDF QR code" is really a URL QR code that points to where your PDF lives online. When someone scans it, their phone opens that link and the browser displays the document.

That means you need two things: a public link to your PDF, and a QR code that contains the link. The generator above handles the second part. Here is how to do the first.

How to Make a QR Code for a PDF

1. Upload the PDF somewhere public. Use your own website, Google Drive, Dropbox, OneDrive, Notion, or any file host. The exact steps for each are below.
2. Copy the share link and make sure it is set to "anyone with the link can view". Open it in a private browser window to confirm it works without logging in.
3. Paste the link in the field above, style the code, and download it as SVG for print or PNG for screens. Scan the preview with your phone to check that the PDF opens.

Where to Host a PDF for a QR Code

• Your own website — the most reliable option. Upload the file to your site, for example yoursite.com/menu.pdf. Short, brandable, and under your control. If you later replace the file at the same address, the code keeps working.
• Google Drive — right-click the file, choose Share, set General access to "Anyone with the link", and copy the link. It looks like drive.google.com/file/d/…/view and opens a viewer with a download button.
• Dropbox — click Share, then Copy link. The link ends in ?dl=0 and opens a preview; change it to ?dl=1 if you want the file to download immediately.
• OneDrive / SharePoint — click Share, set it to "Anyone with the link", and copy. Check that the file is not restricted to your organization.
• Notion, Canva, Adobe Acrobat online — all offer public share links for PDFs. Test them on a phone that is not logged in.

Whatever you choose, remember that the QR code is only as permanent as the link. If you delete the file, move it, or change the sharing setting, every printed code stops working.

Tips for a PDF QR Code That Actually Gets Read

• Keep the file small. People scan on mobile data. Aim for under 5 MB. Export with "reduce file size" or compress images before you upload.
• Design for a phone screen. A dense A4 page in 9-point type is painful on a 6-inch display. Use a single-column layout and large text, or export a mobile version of the document.
• Use a short, clean link. A Google Drive link is around 80 characters and produces a dense code. If you can host the file on your own site with a short path, the code will be simpler and scan faster.
• Test in a private window and on two phones. The most common failure is a link that requires a login. Confirm it opens on an iPhone and an Android device that are not signed in to your account.
• Add a call to action. A frame that says "Scan for the menu" or "Scan for the manual" tells people what they will get.
• Consider a web page instead. If the content changes often or needs to be searchable, a simple HTML page usually beats a PDF on mobile.

Updating the PDF Without Reprinting the QR Code

You have two options. The first is to replace the file at the same URL. On your own website that is easy: upload the new version with the same filename. On Google Drive, use "Manage versions" on the existing file rather than uploading a new file, which would get a new link.
